RESPONSIBILITIES
- Provide in-person comprehensive administrative support to leadership chiefs at HQ
- Assist with projects assigned by department management from Executives, Human Resources, Accounting, Marketing, and Sales
- Performs general office duties, such as distributing mail, order supplies, manage database systems, office equipment
- Organize and maintain cloud-based files
- Create and update documents and form templates
- Maintain and assist with scheduling multiple Microsoft Outlook calendars
- Prepares reports, memos, letters, and other documents.
- Answers phone calls and directs calls to appropriate persons or takes messages.
- Conducts research, compiles data, and prepares papers for consideration and presentation by executives.
- Attends office meetings and records minute notes.
- Greets visitors and determines whether they should see specific individuals.
- Organizes functions such as coordinating catering for luncheons and other meetings.
- Prepares conference room for upcoming meetings
REQUIREMENTS
- Education: Associate’s degree
- Experience: 3 years of administrative experience
- Office management experience
- Clerical support experience
- Excellent follow-up skills with the ability to prioritize and anticipate the next steps
- Proactive with exceptional organizational and interpersonal skills
- Problem-solver with strong analytical skills
- Proficient with Microsoft Office 365 programs (including but not limited to Outlook, Word, PowerPoint, Excel, and Teams)
- Strong ability to multitask and move from project to project
- Professional with the ability to handle confidential information in a discrete manner
- Ability to work autonomously with little supervision
